1.- Cancellations of “Camino
Inca” (Inca Trail).
The policy of cancellation of “Camino Inca”
(Inca Trail) is the most strict of the traveler contract;
it depends on and is only subject to the INC “Instituto
Nacional de Cultura”, who has the authority and control
of this. Sun Gate Tours is subordinated to the availability
of the Camino Inca (Inca Trail) of the INC. We inform to
the traveler that, after the date acceptance and the payment
received for Camino Inca (Inca Trail), he cannot make any
modification, such as: change of date, change of passports,
substitution of passengers; cancellations due to personal
reasons, etc. Sun Gate Tours will not make any reimbursement
for the above mentioned reasons. If the traveler, due to
unforeseen circumstances and by force major didn’t
make the trip, he must present a reimbursement request to
the administrative authority, without any responsibility
of Sun Gate Tours.
Please note that the trek deposit is non-refundable (US$150
required for 2007 and US$200 required for 2008). The deposit
is used to reserve space within the group.
CANCELLATION FEES
We charge the following fees per person:
- Cancellation after the booking time USD 200 will be
charged
- Cancellations make between 44 and 8 days, USD 320 will
be charged.
- Cancellations make between 7 an 0 days Full amount will
be charged.
2.- Trek cancellations made between
payment of trek deposit and 8pm, 2 days prior to trek
departure date: Return of all payments made, less the
trek deposit per person, less any costs associated with
receiving and returning the payment.
3.- Trek cancellations made after 8pm,
2 days prior to trek departure: No cash refund. However
we will give some entrance fees (Inca Trail or Machu Picchu)
your return train ticket from Aguas Calientes to Cusco.
Please note that the client will be responsible for changing
the dates of any of these tickets (if necessary) and any
costs associated with such changes.
In all instances of trek cancellation by the client Sun
Gate Tours will provide written confirmation of the cancellation
and details of any payments lost so as to be used in the
event of any insurance claim made by the client.
4.- Come to Cusco and pay the remaining trek
balance.
You can pay the balance of the trek at our offices in
Cusco (minimum of 2 days before trek departure before
7pm). Payment can be made in cash US$, local currency
(Peruvian Soles). You can withdraw cash in either US$
or Peruvian soles from one of the many ATM machines in
Cusco (Visa, MasterCard, etc). Prior to departing for
Peru it is advisable to inform your bank that you are
coming to Peru so that you do not experience any problems
with your credit/bank cards whilst abroad. Remember that
the limit that you can withdraw each day in Peru may be
less than your normal limit at home.
5.- Authority on tour
At all times the decision of the company's guide or representative
will be final on all matters likely to endanger the safety
and well being of the tour group. The client must at all
times strictly comply with the laws, customs, foreign
exchange and drug regulations of Peru. Should the client
fail to comply with the above, or should the client interfere
with the well being of the group then the guide or company
representative may order the client to leave the tour
without recourse to any refund.
6.- Travel documents
The client must be in possession of a valid passport and
all visas required for the whole of the journey and the
client accepts responsibility for obtaining the same.
Any information or advice given by the company on visas,
vaccinations, climate, clothing, baggage, special equipment,
etc is given in good faith but without responsibility
on the part of the company.
Important !!! Please you have to verify
your passport number and other personal information very
well, it has to be the same that you sent me for the reservation
otherwise you will have problems in the control places.
Clients must bring the original passport with which the
permit was issued. If clients are in the mistake with
passport numbers or other infromation Sun Gate Tours is
not responsible.
7.- Insurance
It is the client's responsibility for obtaining sufficient
personal travel insurance. The client is willing to accept
full responsibility for insurance up to limits that the
client may require. This insurance must cover personal
accident, medical expenses, air ambulance, loss of effects,
repatriation costs and all other expenses which might
arise as a result of loss, damage, injury delay or inconvenience
occurring to the client. It is compulsory that all clients
have personal travel insurance. When obtaining travel
insurance the client must ensure that the insurer is aware
of the type of travel to be undertaken.
8.- Responsibility.
Sun Gate Tours is not responsible for sickness, maternity,
physical or mental impediments, which may put into risk
the health or integrity of the traveler or third parties
during the tour. We will not assume any claim or reimbursement
due to the above mentioned reasons. We request to inform
us previous to the agreement of our services, about any
limitation of this nature, in order to recommend special
services which contemplate the existing impediments.
** We kindly ask you to let us know if you have any inconvenience
with our services before the 72 hours it happened. After
this time we will assume that everything was fine and
we will not be able to accept any claim in the future.
